1. Project Overview

Project Name: AI Workflow Automation System

Objective: Design and build an automated data processing pipeline that reduces manual entry by 10+ hours/week, integrating with the client's existing CRM and email systems.

Reference: This SOW is governed by Master Service Agreement dated _______________.

2. Scope of Work

Provider will deliver the following:

  • Process audit and requirements documentation
  • Custom automation pipeline with AI-powered data extraction
  • API integrations with client's CRM, email, and spreadsheet tools
  • Error handling, logging, and monitoring dashboard
  • Technical documentation and runbook
  • 30-day post-launch bug fix support

3. Out of Scope

  • Changes to client's existing CRM or email system configuration
  • Data migration from legacy systems
  • Ongoing maintenance beyond the 30-day support period
  • Third-party API costs (client responsibility)

Any work outside this scope requires a written change order with separate pricing.

4. Milestones & Deliverables

Milestone 1: Discovery & Design Week 1

Process audit, stakeholder interviews, requirements document, and technical architecture design. Deliverable: Technical Design Document (TDD).

Acceptance Criteria

Client approves TDD within 3 business days. Approval required before proceeding to Milestone 2.

Milestone 2: Development & Integration Week 2

Build automation pipeline, implement AI logic, connect APIs, and set up monitoring. Deliverable: Working system in staging environment.

Acceptance Criteria

System processes test data correctly. All API integrations functional. Client demo completed.

Milestone 3: Testing & Launch Week 3

QA testing with real data, bug fixes, production deployment, documentation handoff, and team training. Deliverable: Production system + documentation.

Acceptance Criteria

System runs in production for 48 hours without errors. Client team can operate system independently.

5. Timeline

Total estimated duration: 3 weeks from kickoff date.

Start date: Upon receipt of signed SOW and deposit

Timeline assumes timely client feedback (within 3 business days per milestone). Delays in client response may extend the schedule.

6. Budget & Payment Schedule

Milestone 1: Discovery & Design $500
Milestone 2: Development & Integration $1,200
Milestone 3: Testing & Launch $300
Total $2,000

Payment schedule:

  • 50% deposit ($1,000) due upon signing
  • 50% final ($1,000) due upon Milestone 3 acceptance

Payment methods: Stripe, Zelle, Venmo, or bank transfer.

7. Change Order Process

Changes to scope, timeline, or budget require a written Change Order signed by both parties. Change Orders will include:

  • Description of the change
  • Impact on timeline
  • Impact on budget
  • Both party signatures

No work on change requests begins until the Change Order is signed.

8. Assumptions

  • Client will provide API credentials and system access within 2 business days of kickoff
  • Client designates a single point of contact for decisions
  • Existing systems have documented APIs or accessible data formats
  • Client provides test data for development and QA
